Agency Groups

The Agency Groups tab allows you to organize agencies into custom groupings based on shared criteria—making it easier to filter and report on agency performance in Harmony. These groups are not used to control permissions but will appear as selectable filters throughout the platform.

Use this feature to group agencies by:

  • AMS

  • State (agency domicile)

  • Region

  • Start date with the network

  • Any other custom logic that supports your workflows


Creating a New Agency Group

To create a new group:

  1. Click New Group in the upper-right of the main Agency Groups tab.

  2. A sidebar will appear. Enter:

    • A Group Name (required)

    • A Description (optional)

  3. Click Save Group

After saving, you’ll be directed to the new group’s detail page. From there, follow the same steps outlined above to:

  • Edit the name or description (click Save Group to apply)

  • Use the Included? toggles to add agencies

  • Confirm that updates are being saved via the messages shown in the upper-right corner of the screen.


Viewing and Managing Agency Groups

The main Agency Groups page displays:

  • Group Name

  • Description

  • A list of Agencies included in each group

To make changes to a group, click Edit at the end of the row.


Editing an Agency Group

Clicking Edit opens the group’s detail page, where you can:

  • Update the Group Name

  • Edit the Description

  • Click Save Group to apply changes
    A Success! message will appear in the top-right corner when saved.

At the bottom of the screen, you’ll find a table listing all agencies in your network. Columns include:

  • Agency Name

  • Agency Code

  • AMS

  • State (agency domicile)

  • Start Date (engagement start)

  • End Date

  • "Included?" toggle

    • Use the "Included?" toggle to add or remove agencies from the group:

      • When toggled on, the agency is included in the group.

      • When toggled off, the agency is removed.

      • Changes made through toggles are automatically saved. You’ll see one of the following confirmations in the top-right of your screen based on your selection:

        • Agency added to group

        • Agency removed from group


Parent and Child Agency Behavior

Important Behavior Regarding Parent/Child Agencies
⚠️ Selecting a Parent Agency only will not display any child-level information within Harmony unless the child agencies are also selected.
⚠️ Selecting only a Child Agency will display only the child’s data in Harmony, but the parent agency’s name will still appear.

Parent agencies are easily identifiable in the agency list by a caret icon next to their name. When you select a parent agency, all its children are selected by default. However, you have full flexibility—each agency (parent or child) can be included or excluded individually.


Search and "Include All" Behavior

To help you manage large networks more efficiently, the Agency Groups tab includes a search and bulk selection tool within the agency table.

How Search Works

Use the search bar above the agency list to quickly find agencies by name, state, AMS, or other details.

For example:

  • Typing "Colorado" will filter the table to show only agencies with "Colorado" listed as their domicile state.

  • You can combine partial search terms for broader matching (e.g., entering "Epic and Texas").

How "Include All" Works

Once your search results are filtered, you can use the "Include All" option to quickly add all currently visible agencies to the group.

This is especially useful when assigning agencies in bulk based on shared attributes like location or AMS.

If you already had agencies selected before the search, using Include All will add the new agencies to the group.
It will not overwrite or remove agencies that were previously selected.

Likewise, if you want to remove all currently visible agencies from the group, you can deselect them manually or use bulk deselect if available.

Best Practice Tip

If you're using search + bulk include to build a group (e.g., by state or AMS), we recommend doing a quick review of the full table afterward to confirm all desired agencies were added.

You can sort the table by the "Included?" column to bring all included agencies to the top—making it easier to review and verify your selections.


Best Practices

  • Be intentional with naming—Agency Groups become filterable tabs in Harmony.

  • Choose naming conventions that reflect the purpose of the group:

    • By state (e.g., "Colorado Agencies")

    • By region (e.g., "West Coast")

    • By AMS or agency size

  • Use Agency Groups to streamline analysis and reporting across specific subsets of agencies.
